Summer Camp FAQs

How do I change incorrect information (e.g. Grade Level) in my CampSite account?

Most information that is collected on the new family enrollment form is unable to be altered by families. If you notice something incorrect (most frequently Grade Level, or Medical Information), email summer@ngfs.org with the correct information.

What are the health policies for summer camp?

The health policies and protocols of the NGFS Summer Camp program will be consistent with the policies and protocols enacted during the school year. Last year's policies and protocols are defined in the Health Handbook located on the School Health page.

All participants and families must understand and agree to adhere to summer camp health guidelines. Please be aware, these are one-week sessions; it is imperative that all participants follow the protocols and policies so that we are able to ensure the safety of everyone participating in our camp programs this summer.

Our basic sick policy is always in place. This includes:
  • Campers must stay home for at least 24 hours when sick (fever, nausea/vomiting/diarrhea, cold symptoms, cough, sore throat, etc)  
  • Hand and basic hygiene
  • Protocol may also include masking when indoors under certain circumstances

What camps are offered for each age? When are camps offered?
 
NGFS Summer Camp offers four program levels to the general public:
  • Summer Adventures (rising 1st-3rd graders)
  • Summer Navigators (rising 4th-5th graders)
  • Summer Explorers (rising 6th-7th graders)
  • Middle School Electives (rising 8th-9th graders)

Preschool Summer (ages 3-5, who have not completed full-day kindergarten) will only be available to families enrolled at NGFS for the 2024-25 or 2025-26 school years.

Where are the camps located?

Camps are located on our Lower School campus (Guilford Campus) at 1128 New Garden Road.

What is the daily camp schedule? Is there childcare available before and after camp?
Preschool Summer

Preschool camp runs on the same schedule as the school year, from 8:00 a.m.-2:30 p.m. Camper drop-off begins at 7:45 a.m. and pick-up ends at 2:45 p.m. Extended Care is available in the afternoon until 6 p.m. for an additional fee.

Summer Adventures, Navigators, Explorers, and Middle School Electives

Summer camp runs from 9 a.m.- 3:30 p.m. Camper drop-off begins at 8:45 a.m. and pick-up ends at 3:45 p.m. Extended Care is available in the morning from 8-8:45 a.m. and in the afternoon from 3:45-6 p.m for an additional fee.

Extended Care is charged as a flat rate with the following fee schedule: Morning care only (8-8:45); Afternoon care only (3:45-6); Morning and afternoon care. You will be able to sign up for Extended Care at registration and make payment with camp sessions.

How do I drop-off and pick-up my camper?
  • Preschool families are asked to park on the far side of campus next to the Preschool fence and walk their child up to the classroom door.
  • For Advetnures, Navigators, Explorers, and M.S. Electives levels, we ask that you stay in your car when you drop off your child in the designated carpool line located in front of the picket fence in the main parking area.
  • Arrival time will begin at 7:45 a.m. for Preschool and 8 a.m. for all other levels and will continue until camp begins (8:00 am for Preschool and 9 a.m. for all other levels). Please arrive during this window of time. 
  • If your child arrives late, please park in front of the school and walk your camper(s) to the main office where we can get them to their camp level. 
  • If you must pick your child up before camp is over, please park in front of the school and walk to the main office for assistance. A staff member will have your camper brought to the office. If this early pick-up is for a scheduled appointment, please notify us in advance by emailing summer@ngfs.org. 
  • For end of day pick-up, please proceed to the same carpool line for dismissal (2:30 for Preschool and 3:30 for all other levels). Staff will gather with campers by program levels and wait for the approved pick-up person(s) to pull up to the carpool space. If you are picking up from Extended Care, please feel free to pick up from the Extended Care room door after 3:45 p.m.
  • If the parent/guardian is not picking up, please make sure the person you send is on your authorized pickup list in CampSite. When they pick up, camp staff will verify identity at the car. Please ensure they have a valid ID with them and know our procedures.
What is the cost for summer camp?
Camp fees vary based on program level and camp themes. 
 
2025 Summer camp fees are:
  • Preschool Summer - $200-230/week
  • Summer Adventures - $225-310/session
  • Summer Navigators - $225-310/session
  • Summer Explorers - $225-310/session
  • Middle School Electives - $240-310/session

Camp fees cover the full camp day. Due to staffing and programming needs, we are unable to offer prorated fees. The exception is the week of June 16th-20th, which has been pro-rated for a four-day week as we are closed June 19th to honor the federal holiday of Juneteenth.

How do I register and pay for camps?

Registration is completed and payments are made online through CampSite.

When is payment due?

A non-refundable deposit of $25 is due for each session at the time of registration. The remaining balance of each camp is due the Monday before each camp session begins; a balance reminder email will be sent. Balances that are not paid by 5 p.m. the Monday before the camp starts will be charged to the card on file through the Auto Pay feature in CampSite, which every family is enrolled in during camp registration.

What if the camp I want to register for is full?

If a camp is full, you can sign up for the waitlist in CampSite. There is no cost to sign up for the waitlist. You will be notified via email if a space becomes available.

How late am I able to register?

You may register for a camp session up to 5 p.m. on Monday the week before the session begins for no additional fee. Registrations received after 5 p.m. on Monday the week before the session begins will be assessed a late registration fee of $20. The late registration fee will be added to the session fee and both must be paid at the time of registration.

What if I need to change my registration?

If you need to make a change to your registration, please send an email to summer@ngfs.org. Include the camper's name and details of the change you wish to make. Please send requests for registration changes as soon as possible and no later than 5 p.m. on Monday the week before the affected camp begins.

What if my child is unable to attend a camp that they are registered for?

If your child is unable to attend a camp, send an email to summer@ngfs.org as soon as possible and no later than Monday of the week before camp is scheduled to begin. For example, if your child is unable to attend camp the week of June 23, notice must be received by email no later than June 16.

What is your refund policy?

If the cancellation is made by the Monday (one week) before the camp begins, a full refund minus the $25 non-refundable deposit will be issued. Alternatively, you can request to move the registration to another week of camp, if space is available. Refunds for emergency/extenuating circumstances will be considered by camp administration. If a camper fails to show up for a camp session, and there has been no related communication, no refund will be issued. No-shows will be billed for the full camp session fee.

Should campers bring lunch and snack?

Campers must bring a lunch, snack, and water bottle each day. We can not refrigerate or heat items. There is an option to order lunch from My Hot Lunchbox each day. Please use ice packs for cold items and a thermos for warm items. Please choose containers that your camper can easily open and close, and help your child practice opening containers. For afternoon Extended Care, we provide a prepackaged snack.

What should my child wear to camp?

Children should wear comfortable play clothes (that can get dirty) and closed-toe shoes. No flip flops, please! In the event of specific dress needs, notification will be sent via email or the parent letter that will be emailed the week before each camp.

We regularly evaluate and update our COVID-19 policies and masking requirements for all members of our community. Currently, masks are optional indoors and outdoors.

What if my child needs to take daily medication?

In order to administer OTC or prescription medication during the camp day, campers must submit the Medication Administration Authorization form located on the School Health page.

Do camps go on field trips?

Preschool Summer will remain on campus for all camp activities.

Summer Adventures will remain on campus for all camp activities.

Summer Navigators, Summer Explorers, and Middle School Electives will offer field trips utilizing bus transportation following all Camp health policies. Trip offerings will be provided in each week’s theme description by level.
